Using the SAP Work Order Filter

You extract work orders out of SAP by using the SAP Work Order Filter dialog box. You must be logged in before you can use this dialog. To start the dialog, click on the Apply Filter toolbar button or select the Apply Filter menu option on the Orders menu.

The SAP Work Order Filter dialog is very similar to the SAP work order list screen in SAP (see transaction IW39). You can add to the fields displayed on the SAP Work Order Filter, change their order and put them in multiple tabs by using the Filter Template Wizard.

Enter your selection criteria for SAP work orders by entering selections in the fields displayed on the screen. Click on the OK button to start extracting the work orders out of SAP.

Some of the fields displayed on the dialog box have drop-down boxes on them. These fields are option fields which can take a selection criteria and then look up SAP for a range of values. Some of these fields, like Material, have many different ways of selecting information out of SAP. Date fields have a special date selection popup.

You can select individual values and a range of values. You can also specify multiple selections by clicking on the arrow button to the right of the field. These multiple selections can include and exclude individual values and multiple ranges. When a multiple selection is in use, the arrow appears blue, otherwise it is greyed out.

 

images\tip.gifYou can use wildcard searches by using the character "*" in a field. For example, you can select all PM work order types by putting the text "PM*" into the work order type screen.

 

 

When you use a range of values every time that you filter SAP work orders, you can click on the Save Defaults button so that you don’t have to enter them each time.

 

Displaying Work Orders

When the work orders have been received from SAP, they are displayed on the summary screen. You can change the way that they are grouped on the screen through the Mapping Wizard. The section called Work Order Grouping under the Mapping Wizard help describes how you can change the work order grouping on the summary screen.

 

images\tip.gifGroup your work orders by the SAP work order header field that you use for defining a work order’s priority. You can then make sure that you select and transfer your work orders by priority order.

The fields displayed on the summary screen can be changed using the Summary Screen Wizard. This controls which SAP fields are used to display the work order header, operations, components and PRTs.

 

images\tip.gifIt’s a good idea to take the SAP work order header fields that you are using to set up activity codes in P3 and make sure that they are displayed on the summary screen. Remember you set up these activity codes using the Mapping Wizard. These are the SAP fields that are the most important to organising your project in P3. Listing them on the summary screen will help you to make sure you select the correct work orders for transferring to P3.
