Strategies for Updating Progress

There are two methods you can use for progressing work orders in your P3 project: getting the actual progress from SAP and manually entering the progress in P3.

The method of progressing work orders that you use will depend on the way you do maintenance in your organisation and how often and at what level you report progress in SAP.

There are three business scenarios in this help manual that each has a different take on the way that they progress work orders in the P3 schedule. You may find these scenarios useful in determining which strategy is best for you.

Weekly scheduling – in this scenario, the planner improves the granularity of the schedule in P3 by changing the resource allocation from SAP’s work centres down to the trade level after they have used Weavecentrix Desktop to bring these work orders across from SAP. In this case, the SAP actuals are at too high a level to be of any use. The planner updates the schedule with the progress from the job cards as they come in.

Minor Shut – in this scenario, the scheduler plans at the work centre level and uses the actuals from SAP to keep track of progress in the P3 schedule. At the end of each shift, the scheduler pulls the actuals down from SAP which automatically updates the schedule.

Major Shutdown – in the major shut scenario, the SAP work orders form only part of a major capital works program. The planner uses Weavecentrix Desktop to quickly bring those work orders into the project plan and then starts to plan them in greater detail than SAP will allow. When the shutdown begins, the schedulers will be updating the schedule at 4 hour intervals with the information supplied by the work crew supervisors as SAP only gets updated at the end of the day.

 

Updating Progress using SAP Actuals

This section looks at how you bring the actuals from your SAP work orders into your Primavera P3 schedule. The way that SAP actuals are mapped between the two systems is explained in detail in the section Mapping SAP Actuals.

The first step is to identify the work orders that you want to get the actuals for. Typically, these are the work orders that are in process and have an actual start date that is within a recent date range – the last week, for example. Normally, you will use another field such a work centre or functional location to filter the list down to the relevant work orders.

Once you have identified these work orders and brought them into Weavecentrix Desktop, you can select those work orders which you want to progress in your P3 project.

The next step is to transfer these work orders into your P3 project. Click on the Transfer button on the SAP toolbar. This will set the actual start date and actual finish date on the activities and update the actual hours and actual costs against the resource assignments. You should then open you project in P3 and update the Data Date after updating your progress.
